We use Charms Office Assistant each day to help the band program run smoothly and efficiently.  Using Charms, parents may update contact information as it changes, check their child's financial balances, and find handouts that have been given to students, but may have been misplaced.  We highly encourage parents to check Charms regularly to help them stay up to date.  Instructions for accessing Charms are below.

 

1) Click on the link Charms Office Assistant Login at www.oakvilleband.com

     or browse to www.charmsoffice.com

 

2) Once at the Charms site, click on "ENTER/LOGIN" at the top

 

3) Select "Parents/Students/Members"

 

4) Enter our school code --> OakvilleBand

 

5) Enter your child's password (their School ID number).  This will take you to the area specific to your child.

 

From the student area, you will be able to edit your contact information, as well as view the band calendar, check financial details and find handouts.

 

ONCE YOU HAVE LOGGED IN

  • Change your password by clicking the “Change Password” icon in the bottom row.

  • Update the student’s personal information by clicking the “Update Info” icon in the lower left corner. *Do not change the grade level of your child. I will do a Year End Roll Over that will move all students up a grade and the seniors into alumni status.

  • Click “Add New Adult” to enter parent/guardian contact information. We plan to use the Charms communication functionality to share information.

  • If you have multiple Oakville Band students in your household, click the “Multiple Students” icon to consolidate all family information into one place.

  • You may visit the financial page to view your student account balance, trip payment ledger, and payment history.

 

TO ORDER BAND APPAREL

  • Select the "Online Store" (shopping cart icon).

  • Click the Green "Choose" button for the item you want to order.

  • Click the size of the item (if applicable) from the left, then from the right list when it appears. *Note the yellow warning label.

  • Select Green "Update Cart" to add item to your cart and continue shopping.

 

TO MAKE A CREDIT CARD PAYMENT

  • Select the “Finances” icon on the home screen OR click the red $ icon on the website header.

  • Under “Student Fixed Payment Detail,” click to activate the PayPal switch next to any fees that you wish to pay via credit card.

  • Click “Pay Fixed Payments” button at the top of the “Student Fixed Payment Detail” box.

  • A 3% convenience fee is added to the transaction to cover the fees we are charged for the transaction

  • Click the “Start Payment” button – Charms will redirect you so you may login to an existing PayPal account or check out as a guest without creating a PayPal account. You will finalize your payment here.

  • YOU DO NOT NEED A PAYPAL ACCOUNT TO MAKE PAYMENTS THROUGH PAYPAL

 

  • A NOTE ABOUT PARTIAL PAYMENTS FROM YOUR ACCOUNT/ MISC. LEDGER: Charms does not allow a partial “fixed payment.” For example, if you have $75 in your Miscellaneous Ledger, you cannot apply it toward the $100 Marching Band Dues. (Charms sees these dues as either paid in full or unpaid.) INSTEAD, you may either make a payment for the difference to your Miscellaneous Ledger via PayPal, and then transfer the full amount OR send a check for the balance to the band office with a note to take the balance out of your account/ledger.

  • Charms Office Assistant Parent/Student Portal apps are available on the Google Play store and the Apple App Store. (Be sure to download the Parent/Student version, not the Director version.)
